This Privacy Policy explains how Vista Tech Solutions LLC ("MechanicFlow Pro," "we," "us," or "our") collects, uses, and shares information in connection with MechanicFlow Pro, a shop management platform we provide to independent auto repair shops ("Shops"), and the AI phone receptionist and text messaging services that are part of that platform.

Who this policy covers

MechanicFlow Pro is business software: our direct customers are auto repair Shops, not their end customers. When a Shop's customer ("Customer") calls a Shop's phone number or receives a text message related to their vehicle service, that Customer's information is being processed on behalf of the Shop, as described below.

Information we collect

Shop account information — business name, contact information, and login credentials for Shop staff who use MechanicFlow Pro.
Customer contact information — a Customer's name and phone number, collected when they call a Shop's AI phone receptionist or when Shop staff enter it directly, so the Shop can identify who is calling and follow up.
Vehicle information — year, make, model, and related details a Customer provides about the vehicle they're calling about.
Call and message content — a summary of what was discussed on a call with the AI phone receptionist (for example, the reason for the call or the appointment requested), and the content of SMS text messages sent and received in connection with a Shop's use of MechanicFlow Pro.
Appointment and work order records — scheduling details, service history, and repair records a Shop maintains for its Customers.

SMS / text messaging. If you are a Customer of a Shop that uses MechanicFlow Pro, you may receive text messages from that Shop's phone number — for example, appointment confirmations and reminders, a confirmation that your call or message was received, or a notification that your vehicle is ready for pickup. You are texted only because you called, booked with, or otherwise gave your phone number to that specific Shop. We do not use your phone number for marketing unrelated to the Shop's service to you, and we do not sell phone numbers or message content to third parties.

No mobile information is shared with third parties or affiliates for marketing or promotional purposes. All other categories excluded, including but not limited to: text messaging originator opt-in data and consent, is not shared with any third parties.

You can opt out of text messages from a Shop at any time by replying STOP to any message. Reply HELP for help. Message and data rates may apply, and message frequency varies based on your activity with the Shop.

How we use information

To operate the AI phone receptionist — answering calls, checking appointment availability, and booking appointments on behalf of a Shop.
To send appointment confirmations, reminders, lead follow-up confirmations, and pickup notifications by text message.
To give Shop staff a record of calls, leads, appointments, and work orders inside the MechanicFlow Pro dashboard.
To maintain, secure, and improve the MechanicFlow Pro platform.

How we share information

We share Customer information with the specific Shop that Customer contacted or booked with — that is the core purpose of the platform. We use infrastructure providers (such as cloud hosting, telephony, and text messaging providers) to deliver the service; those providers process data on our behalf under their own confidentiality and security obligations, and do not use it for their own marketing purposes. We do not sell personal information.

Data retention

We retain call, message, appointment, and work order records for as long as a Shop's account is active, or as needed to provide the service and comply with legal obligations, after which it is deleted or de-identified.

Your choices

Reply STOP to any text message to stop receiving texts from that Shop's number, or HELP for assistance.
Contact the Shop directly, or contact us at privacy@mechanicflowpro.com, to ask what information we hold about you or to request its deletion.
